Principles of Technical Communication (Business Communication: BBA Third Semester: PU)

Principles of Technical Communication
Technical communication is essential to deliver or transmit complex information clearly and concisely to a specific audience. Even if we are creating oral or spoken technical information, the principles are of technical communication should be followed. In the present time, technical communication is used in every sector or field for various purposes, but if it is used without following its principles, it can’t be effective and relevant. The followings are some of the principles of technical communication that have to be followed while engaging in technical communication.

1. Know our purpose: The main objective of technical communication is to deliver exact information to receivers regarding various subject matters. Knowing our purpose helps us to stay alert and ensure that our information is targeted to a specific audience. Through technical communication, any one or more purposes can be delivered like reporting, replying, suggesting, analyzing, comparing, commenting, informing, warning, instructing, etc.

2. Know our audience: Knowing our targeted audience is important in this communication because audience is the king. For delivering effective information, we should know our audience and their needs, preferences, expectations, etc.

3. Maintain simplicity, clarity and conciseness: While delivering either oral or written information, a communicator should use correct grammar and spelling, short sentences, suitable words, short paragraphs, active voice, etc. in order to be simple, clear and concise.

4. Using specific, concrete and accurate details: While delivering information, a communicator should mention detailed, vivid and exact details for effective communication.

5. Following suitable format, style and tone: When a good communicator is delivering his or her information for communication, information, ideas or materials should be organized chronologically, categorically and spatially using multi-media elements as necessary.
6. Show just don’t tell: While delivering information, a good technical communicator should use visual contents like illustrations, images, charts, graphs, etc. to make information, presentation or idea visually interesting.

7. Following ethical and legal principles: While delivering technical information, a communicator can take reference from other sources because he or she should not feel hesitated to admit copyright, privacy, plagiarism, etc.

8. Making our communication reachable, relevant and easy to use: Only creating and delivering information is not enough. So, a communicator should make his or her information easily reachable, relevant and usable.

9. Collaborative: Collaboration is the key to communication because it cannot happen without working with others. The main purpose of this is to provide feedback, solve problems and share ideas among one another.

10. Correcting errors promptly and taking on challenges: While delivering information, there is risk of making mistakes because it is complex and rigid, so a technical communicator should be ready to correct errors or issues promptly taking any challenges.

11. Maintaining creativity: Creativity is the major body of technical communication, so a technical communicator should be creative in creating a task, improving the task, solving problems and introducing new methods.
